Usage procedure and flow of use

Step 1 Tentative booking

  1. Campus Plaza Kyoto Please check the desired date, room, and time zone from [External Link].
    ・ If the date of use of the facility is within 2 weeks from the date of application, a tentative reservation cannot be made, and only a visit (payment) can be reserved.
  2. We will accept tentative reservations by phone or at the counter. * We do not accept e-mail or fax.

    9:00 ~ 19:00 (Closed on Mondays and excluding year-end and New Year holidays)

    * We do not accept reservations or inquiries by e-mail or fax. Please contact us by phone.
    * However, reservations and availability inquiries by phone at the beginning of the month will start at 13:00.
    * Applications for the next year will be accepted after the beginning of March, and telephone applications will be accepted sequentially as soon as the reception of visitors is completed.
    (Every year, the reception of reservations for the next year is very crowded, so the telephone reception will be after 15 o'clock.)
    (The availability of reservations for the next year will be announced on the website around March.) )
  3. We will issue a temporary reservation number and a tentative reservation deadline. (We will also issue a transfer deadline for those who make a transfer.) ・Please
    be sure to inform us of the deposit method (either cash or transfer) in advance.

■ About
the period during which tentative reservations can be made General public: Reservation applications will be accepted from the first day of the month three months before the month to which the date of use belongs (or the next day if the museum is closed).
For universities: Reservations will be accepted from the first day of the month 6 months before the month of use (or the following day if the library is closed).
* However, only reservations that fall under the applicable conditions of the attached "Application of University Fees" are available. 【Application of University Fees】
If it does not apply, you will need to follow the same reservation procedures and usage fees as for the general public.

Step 2 Book (Application and Payment)

■ Those who pay in cash

  1. Please fill out the [Application Receipt Form] and submit it to the counter by the provisional reservation deadline.

    If you are using the hall, please submit this as well. 【Items to be confirmed when using the hall】(Hall users only)
  2. 【Deposit】

  3. Please pay the usage fee in cash on the spot.
  4. We will give you a license and receipt.

■ For those who pay by bank transfer

【Application】

  1. Please fill out the [Application Application Receipt Form] and submit it to the counter by the transfer deadline.
    ・ Please submit a sample here
    and if you are using the hall, please submit it here. 【Confirmation items for using the hall】(Hall users only)
    ・ If you apply on the day of the transfer deadline, you may not be able to pay by transfer, so please apply as soon as possible.

  2. We will give you a license and transfer form.

  4. Please transfer the usage fee within the transfer deadline.

    * If the transfer is not made within the deadline, it will be treated as a cancellation and the use permit will be invalid.

Step 3 Use of Facilities

  1. In principle, the applicant (or the person in charge) should present the facility use permit (original) at the reception desk.
    * Applications will be accepted from 10 minutes before the rental time. You can use the facilities after reception.
    * Reception hours cannot be accelerated.
    * You cannot use it before the rental time. Please make a reservation including the setup time.
    The following cases are prohibited ✖
    Set up
    ✖ before the time Leave your luggage first
    ✖ Participants line up in front of the room and wait
  2. Please apply for and pay for additional use of ancillary facilities when you enter the room.
    * Payment will be accepted until 7 p.m. Please be careful if you use the 7th lecture or at night.
  3. Please clean up during the usage time and return the rental equipment to the reception desk.
    * Please return the layout of the desks and chairs in the room to the current state during the rental time, and return the
    equipment to the reception. If you leave the room late, you may cause inconvenience to the next user, so
    please be punctual.
