Instructions and Flow of Use

Step 1: Provisional Reservation

  1. Please check the availability of Campus Plaza Kyoto [External Link] to confirm your desired date, room, and time slot.
    *If your desired facility usage date is within two weeks of the application date, provisional booking is not possible; booking is only possible by visiting the facility (and making payment).

  2. We accept provisional reservations by phone or in person at our counter. *We do not accept reservations by email or fax.

    9:00 AM – 7:00 PM (Closed on Mondays and during the New Year holidays)

    *We do not accept reservations or inquiries via email or fax. Please contact us by phone.
    *However, telephone reservations and inquiries about availability will begin at 13:00 at the beginning of each month. *
    Reservations for the following year will be accepted from early March onwards, and telephone reservations will be accepted sequentially after the on-site visitor check-in is complete.
    (Every year, reservations for the following year are very busy, so telephone reservations will only be accepted from 15:00 onwards.)
    (Availability for reservations for the following year will be posted on our website around March.)
  3. We will issue a provisional reservation number and a provisional reservation deadline . (For those paying by bank transfer, we will also issue a payment deadline.)

■Regarding the period for making provisional reservations
General public: Reservations can be made from the first day of the month three months prior to the month of use (or the following day if it is a closed day).
University users: Reservations can be made from the first day of the month six months prior to the month of use (or the following day if it is a closed day).
*However, this applies only to reservations that meet the application conditions outlined in the attached document “Regarding the Application of University Rates”. [Regarding the Application of University Rates]

 If the university rate does not apply, the same reservation procedures and usage fees as for general users will be required.

Step 2: Final Reservation (Application and Payment)

■ For those paying in cash

  1. Please fill out the [Application Form] and submit it to the counter by the provisional reservation deadline.

  3. Please pay the usage fee in cash on the spot.
  4. We will provide you with a usage permit and receipt.

■ For those paying by bank transfer

    ・If you apply on the payment deadline day, you may not be able to pay by bank transfer, so please apply as early as possible.

  2. We will provide you with a usage permit and a payment slip.

  4. Please transfer the usage fee by the payment deadline.

    *If payment is not received by the deadline, the reservation will be cancelled and the usage permit will become invalid.

Step 3: Use of the facilities

  1. In principle, the applicant (or their representative) must present the facility use permit (original)
    at the reception desk.
     * Reception opens 10 minutes before the rental time. You can use the facility after reception is complete.
     *Reception cannot be opened earlier.
     *You cannot use the facility before the rental time. Please make your reservation including setup time, etc.
      The following are prohibited:
      ✖Setting up before the time
      ✖Leaving luggage in advance
      ✖Participants lining up and waiting in front of the room

  2. Please apply for and pay for any additional facilities upon entering the room.
     *Payment is accepted until 7 PM . Please note this if you are using the 7th period or evening sessions.
  3. Please clean up within your reserved time and return any rented equipment to the reception desk.
     *Please return the desks, chairs, and other furniture to their original positions and remove them within your reserved time, and return the equipment to the reception desk   . Please be punctual
